eFlexes are currently recruiting for an exciting new opportunity of Site Administrator a company located in Co Clare. Position will be offered on long-term rolling contract.
Responsibilities:
- Manage office supplies, photocopiers, and liaise with IT.
- Maintain a weekly meeting schedule, including booking rooms, organizing catering, sending meeting notifications, and updating schedules.
- Provide administrative support to senior management as needed.
- Coordinate inductions and set up for new hires onsite, including organizing laptops, phones, etc.
- Assist the Document Controller in collating, numbering, and maintaining documents.
- Support the preparation of documents and presentations.
- Assist in compiling monthly reports for client distribution.
- Update information logs and scan documentation into the system.
- Support the approvals process and set up new vendors on the procurement system.
- Validate and match invoices for management sign-off.
- Follow up with vendors regarding invoices and queries.
Education:
- Experience in a similar role within the construction industry is highly desirable.
- Administration and/or office management qualification is advantageous.
Experience:
- 5 years' experience in a professional office environment with administrative background.
- Proficiency in Word, Excel, and PowerPoint.
- Customer and supply chain orientation, both internally and externally.
- Ability to share knowledge and adapt to changes.
- Excellent communication and interpersonal skills.
- Friendly, positive, and flexible attitude towards work.
- Strong multitasking and prioritization abilities.
- Excellent ability to work independently and take initiative.
