ADMINISTRATIVE ASSISTANT
eFlexes are currently recruiting an Administrator on a six month contract for a busy and vibrant office based in Shannon, Co. Clare.
This is a very exciting, career boosting, position and has the opportunity to grow into a permanent role.
Candidates should have previous office administration experience and be available for an immediate start.
Responsibilities include:
- Provide administrative assistance to members of the team, including but not limited to, CEO & Senior Project Manager.
- Offer Support to accounts department
- Keep records and files up to date
- Distribute P.O’s and supplier set up, and statements
- Examine invoices and expense claims submitted and prepare payments
- Provide management and other departments with relevant reports for decision making and controlling expenditures, including monthly budget variance reports
- Organise & create reports for project teams and management
- Process data on behalf of management and project teams
- Planning and organising meetings
- Prepare meeting rooms for all internal and external meetings
- Preparation of documentation in advance of meetings
- Booking flights and hotels
- Scheduling appointments, call and meetings
- Collating timesheets
- Documentation updates
- Liaise with 3rd party vendors and outsourced partners when required
- Perform other duties that may be assigned from time to time
Experience required:
- 2-4 years in a similar role
- Experience working with numbers and spreadsheets
- Excellent presentation skills
- Excellent problem-solving and analytical skills
- Strong organisational skills and attention to detail are essential
- IT Skills: MS Office, Outlook, Google Suite, Teams, CRM Systems
- Strong communication skills (verbal & written) and Interpersonal skills
- Ability to work effectively within a team environment
